Overview
IQ Desk is an IT service desk and asset management platform provided by DynamIQ Enterprise Solution, Inc. It is supplied to organizations for use by their staff, and is available as a web application and as the IQ Desk mobile app for Android and iOS.
IQ Desk is workplace software, not a consumer service. Accounts are created by your organization's administrator; there is no public sign-up. Your employer, or the organization that issued your account, decides what information is placed into the system and controls it. We process that information on their behalf as their service provider.
Information we collect
We collect only what the service needs in order to work:
- Account information. Your name, email address, role and permissions, and optionally your company, department, site, and phone number. Passwords are stored only as salted hashes and are never readable by us.
- Support content. The tickets, replies, resolutions, knowledge base articles, and live chat messages you write, along with any files, photos, or documents you attach.
- Asset records. Details of company equipment assigned to or handled by you, including acknowledgment receipts you sign, and audit entries recording changes and scans.
- Camera and microphone. Used only while you actively use a feature that needs them: scanning asset QR codes, taking a photo to attach, and placing or receiving voice and video calls. Call audio and video are transmitted directly between participants and are not recorded or stored by us.
- Notification tokens. A device token issued by Firebase Cloud Messaging or Apple Push Notification service, used solely to deliver alerts about your tickets and chats.
- Operational logs. Sign-in times, activity performed on tickets and assets, and technical error logs used to keep the service running and secure.
We do not collect your location, your contacts, health information, or financial account details, and we do not track you across other apps or websites.
How we use information
Information is used to operate the service: authenticating you, routing and resolving support requests, maintaining asset and accountability records, delivering messages, calls, and notifications, and securing and troubleshooting the platform. Some deployments also use it to generate reports and analytics for your organization's administrators.
We do not sell personal information, we do not share it with data brokers, and we do not use it for advertising or to build advertising profiles.
Automated and AI-assisted features
Depending on the features your organization enables, ticket and chat text may be sent to an AI provider to draft suggested replies, summarize or categorize requests, improve written text, or answer questions from your organization's knowledge base. Providers may include Google (Gemini) or an OpenAI-compatible service, which can be a model hosted by your own organization.
Only the content needed for the request is sent. Your administrator chooses the provider and can disable these features. If your deployment uses a self-hosted model, this content does not leave your organization's infrastructure.
Sharing and service providers
Information is disclosed only in these circumstances:
- Within your organization. Agents, administrators, and other authorized staff can see the tickets, chats, and asset records their permissions allow.
- Infrastructure providers. Email delivery and receipt for ticket correspondence, push notification services, and where configured, a relay server that helps establish voice and video calls when a direct connection is not possible.
- Legal requirements. Where we are required to do so by law, or to protect the rights and safety of users and the service.
Security
Traffic between the apps and the server is encrypted in transit using HTTPS and secure WebSockets. Access is controlled by authentication and a per-module permission system, so users see only what their role permits. Voice and video calls are established peer-to-peer wherever the network allows.
No system can be guaranteed completely secure, but we work to protect information using measures appropriate to its sensitivity.
Data retention
Support and asset records are retained for as long as your organization keeps them, since they form part of its operational and accountability records. Your organization's administrator determines retention and can delete or anonymize records. Push notification tokens are removed when you sign out or uninstall the app.
Your rights and choices
Because your organization controls the information held in IQ Desk, requests to access, correct, export, or delete your data should be directed to your organization's IQ Desk administrator. They can action these directly, and we will assist them where needed. If you contact us directly, we will refer your request to them.
You can revoke camera, microphone, photo, and notification permissions at any time in your device settings. Features that depend on them will stop working, but the rest of the app will continue to function.
Children
IQ Desk is workplace software intended for people aged 18 and over. It is not directed to children, and we do not knowingly collect information from them.
International use
IQ Desk is typically deployed on infrastructure chosen by your organization, which may be located in a different country from you. Your organization determines where its instance and data reside.
Changes to this policy
We may update this policy as the service evolves. The revision date at the top of this page will change when we do, and material changes will be communicated to administrators.
